Executive Assistant

Your Contribution

  • Manage the President's schedule and ensure preparedness for meetings.
  • Communicate with board members with respect to scheduling meetings and logistics for the meetings, compiling and distributing board packages, minute taking and distribution or minutes, and fielding general inquiries from the board members.
  • Assist with the creation, coordination and submission of any corporate applications.
  • Assist the Research Department with clinical trial registrations and provide administrative functions to same.
  • Complete required "Access to information" (ATI) requests in a timely manner.
  • Travel arrangement for the President/CEO including booking flights, hotel accommodations and car rentals.
  • Conference/training travel booking and registrations in consultation with managers.
  • Administrative Coordinator for any communication between the shareholders, the Board of Directors, Lawyers and Management.
  • Provision of assistance to managers (all departments) as needed.
  • Train personnel and ensure they are following proper procedures.
  • Supervise administrative staff including assigning duties, performance assessments and mentoring.
  • General administration and clerical tasks including faxing, mailing, filing, photocopying, taking notes, and typing correspondence.
  • Maintain, file, and store corporate minute books.
  • Ability to maintain a high level of confidentiality.
  • All other duties as assigned.
